Follow these 7 simple steps to book rooms:
- Know how many rooms you will need and any special requirements.
- Have your credit card handy (all rooms are held with a credit card but you will NOT be charged until the arrival).
- When you reserve a block of rooms for your team:
- You need all names and email addresses for those responsible for paying.
- After completing your reservation, a confirmation email will be sent to each email address.
- The confirmation email provides a link to change information on the reservation. each guest must follow this link in order to put their own credit card on file.
- Look through the hotel listings and their descriptions. You may look at the amenities of each hotel by clicking "Overview + Amenities."
- Go to "Find a Room" next to the hotel you’d like to book. If the hotel is already full you will see a red box that says "All Rooms are Booked."
- Follow the instructions through the room booking process. When you are finished you will receive a confirmation email within 2 business days. Print your confirmation email and save for your records.
- If this is your first time booking through Meeting Max, please read the below information. Then when you are ready to begin your reservation process, please click below on "book rooms now".

Hotel Reservation for The Gathering participants
- Reservations must be guaranteed by credit card. Your credit card will not be charged in advance and an alternative form of payment may be presented at check-in.
- You will receive a hotel confirmation number via e-mail within two business days. Please save your confirmation e-mail as it will include a link to make changes to your reservation including to cancel your reservation.
- When making a reservation for the team, be prepared to have a guest name and email address for each guest room being reserved. By doing this each individual responsible for their reservation will receive their own confirmation email. NOTE: So it is important to have an accurate email address. If you do not have a guest name and email for each guest room, use Guest 1, Guest 2 etc and note that your email address will be used as the primary email to make changes in reservation information.
- As the contact person for the block of rooms you will receive a confirmation email including a confirmation number for each guest room reserved. If you did not fill in guest names and emails then provide each guest (Parent / Coach) with the Request for Change Link provided in the confirmation email, along with your email address and their specific confirmation number. This allows your parents to make any changes necessary and add a personal credit card to secure the room in their name not yours.
- Occupant names and emails are required for all room reservations within 7 days upon receiving your hotel confirmation email, failure to provide these guest room names will result in the reservation being cancelled.

Alternate Hotel $200 Fee
Should you choose to stay in an alternate hotel and wish to still play in the tournament you will need to play this fee of $200 three weeks prior to the event.
